Co-op Festival Crew information page – everything you need to know before you apply

Thank you for visiting the 2019 Co-op Festival Crew information page – we’ve tried to keep it short and sweet but please ensure you read all of the content and you’re fully prepared for the challenge prior to applying.

2018

In 2018, over 300 colleagues joined together to support our festival activations and bring the experience to life. We served over 200,000 customers with a smile, and achieved an astounding 96% satisfaction rate with the store in the process. It wasn’t just about the sales though, we delivered a multi award-winning experience which has changed the perception of Co-op within a younger demographic. It wasn’t an easy shift for our colleagues, but they had an amazing time:

Headline Act

Following on from the success of 2018, we are planning to take our Co-op activation to 8 of the biggest music festivals in the UK this year. The partnership will see us operating a 7,000sqft store at the majority of the festivals – which will be the largest store we are opening this year and is also forecast to be the busiest store we will operate! But before you start packing your wellies (and sun cream) and planning which headline acts you want to see – it isn’t going to be a walk in the park.

Supporting Act

The store will be staffed 24 hours a day and we are forecasting over 10,000 customers every 24 hours, it will be hot (hopefully J ) and we will need to serve a lot of customers and move a lot of stock – we are expecting it to be a very physically demanding job. You will have downtime when you’re not working but we must stress that it isn’t going to be an easy shop to work in and we need to ensure that we not only operate the store but deliver the very best experience possible for our customers, both new and old.

The Audience

Our store will give us physical access to over 300k people and a digital reach in the millions – allowing us to engage with an important younger demographic in a credible and meaningful way pre, during and post each festival.

You will take a main stage presence as the star of the show to represent and project the Co-op brand and our values onto thousands of new customers – for whom you are the face of Co-op and they will likely base their impression of Co-op upon how you interact with them. We have an amazing opportunity and we need your support to convert festival goers to Co-op festival shoppers to Co-op customers when they are back to normal day to day life.

The Shop

Our Co-op super store will stock 220 products in the 7,000sqft structure but it won’t look like your local Co-op… for example the majority of ambient products will be merchandised on pallets to allow for a greater volume of stock to be stored.

The store will be inside a bespoke marquee located within the campsite area at each of the festivals. It will be trading from 7am – 3am and will be staffed 24 hours and will have up to 18 tills in operation.

The Campsite

Colleagues travelling from outside a reasonable travel distance will stay in the staff campsite at each festival – within this staff campsite we will have a dedicated Co-op area complete with a 2-man tent per person, Co-op toilets and showers plus our own security. Please note this area is only accessible by attendees with staff accreditation and additional Co-op accreditation, so if you have friends staying at the festival that you want to camp with then you would need to move to the general campsite instead.

Festival Tickets

You will receive staff accreditation tickets which will give you access to the campsite, staff campsite and arena. You will also be able to leave the site if you wish and parking is available in the public car parks.

Sounds good, is there a catch?

Well as we’ve mentioned it is going to be a very demanding environment to work within, for example we are forecasting to sell 25,000 bottles of 2L Spring Water per festival – that is a lot of water to restock and also process through the tills!

You’ll need to enjoy the camping experience and love a challenge, so that even after unloading and working 20 pallets of stock you’re still delivering a first-class experience for all our customers. You will be working up to 55 ½ hours over 7 days, it isn’t going to be easy but it will certainly be an experience you’ll never forget!

Shift Patterns

Please see below the shift patterns in operation, note once assigned a shift team you won’t be able to change unless you agree and have approved a swap locally with another colleague. The store won’t trade on a Monday so only the Early shift and Late shift store managers and team managers will work on this day.

Note; Isle of Wight, Latitude and Creamfields start a day later so the below Tuesday shifts for these festivals would be Wednesday start and not Tuesday.

The Early Team – perfect for early risers who want to enjoy the early evenings at the festival

Wednesday – Sunday 7am – 3.30pm

Monday 7am – 1pm for managers only

The Late Team – perfect if you want to explore the festival in the mornings

Tuesday 11am – 5pm

Wednesday – Sunday 3pm – 11:30pm

Monday 11am – 5pm for managers only

The Night Team – perfect if you’re a night owl and want to enjoy the headline act prior to starting work

Monday – no shift, free to leave at 07:30am

Entry Fees

You will be paid your standard Co-op rate of pay for hours worked but will not be paid for time at the festival when not working – usual out of hours working payment will be supplemented where applicable.

Co-op will cover your travel to/from the festival, all ticket charges for you, parking if required and you’ll be entitled to claim your business areas set subsistence allowance for breakfast and dinner if staying at the festival.

Entry Restrictions

You must be aged over 18 as at 1st June 2019. Applications are open to colleagues across One Co-op, however first priority will be given to colleagues who live in proximity to the festival site. Other colleagues can still apply and will still be selected as we are only able to take max 1 colleague per store team. Additionally, please speak to your line manager first to ensure they would be happy with you leaving the team to work at a festival for a week.

What are we looking for?

  • Ability to react and adapt – there isn’t a precedent for this in the UK so we need someone who is agile and can react as events unfold
  • Great people skills – you’ll be part a large team most of whom you won’t have met before so it is vital that you are able to build relationships quickly
  • The best customer service – we only have one opportunity to deliver the best customer service to a new customer, so we need to ensure we get it right first time. Even when it is raining non-stop – we need to smile and make the most of it!
  • Thrive under pressure – we expect it to be very fast-paced and there will always be something to do so we need you to flourish in this kind of environment and perform when it matters

What will you be doing?

  • A large proportion of your time will be spent interacting with customers on the till which will involve long periods of standing
  • Stock replenishment from the warehouse or storage units outside the store
  • Stock replenishment from the DC, supporting the unloading of deliveries
  • General cleaning duties throughout the day and a deep clean overnight
  • Store opening duties such as placing SELs and generally setting up
  • Stock take at end of festival

Training

We know you’re already great but we want to equip you with everything you need to know before you even reach the festival. That is why we will be sending all colleagues a training pack to read through/complete prior to arrival at the festival and this will be followed by training on the first day covering key topics such as health and safety, manual handling, age related sales and the bespoke till system.

Co-op Festival Crew – Terms and Conditions 
  1. PROMOTER: This competition is operated by Co-operative Group Food Limited, a registered society under the Co-operative and Community Benefit Societies Act 2014, Registered No 26715R with registered office at 1 Angel Square, Manchester, M60 0AG. References to “we”, “us” or “our” in these terms and conditions are references to the promoter.
  2. OPENING AND CLOSING DATE: This competition opens on Wednesday 20th March 2019 and closes on Wednesday 10th April 2019. Any entries made before the opening date or after the closing date will not be valid and will not be entered into this competition.
  3. ELIGIBILITY: This competition is open to employees of the Promoter, the Co-operative Group Limited and their affiliates or subsidiaries who work in one of the following areas of the business:
Food Divisions,
Logistics,
Legal Services,
Insurance,
Funeralcare,
Group Support Centre Colleagues & Digital
However first priority will be given to colleagues who work in close proximity to the festival site. In addition, employees and any agencies who are directly connected with the creation and administration of this competition are excluded from entering this competition. You must be aged 18 or over as of 1st of June 2019 to enter this competition. We may ask the winners to provide proof of age and employment.

By entering this competition, you confirm that you have read the Co-op Festival Crew information page and that you are happy to comply with all terms and conditions as specified in these T&Cs and on the Co-op Festival Crew information page. We will try our best to take into account your preferred festival and shift team but we can’t guarantee this and reserve the right to allocate the selected colleagues across each festival and shift team as is required to ensure the smooth running of the stores.
  1. PRIZES: There are up to 74 places available per festival.
Maximum one prize per winner. Each prize is the opportunity to work as a member of our Festival Crew in a pop-up Co-op Food store at one of the eight festivals (the “Event”) listed below.

We may withdraw the prize if circumstances beyond our control make it necessary to do so or any Event is cancelled. There is no cash alternative to the prize.
The prize includes:
  1. Travel to the allocated Event for the Onsite Date and travel home at end of Event;
  2. Colleagues travelling from outside a reasonable travel distance will be allocated a 2 man tent   which will be located in the staff campsite at the colleague’s allocated Event (please note that colleagues will be required to bring their own sleeping bag and camping supplies);
  3. 1 x Staff accreditation ticket which gives colleagues access to the campsite, staff campsite and arena. The ticket is not transferrable and cannot be sold or exchanged for cash. Terms and conditions of the ticket will be printed thereon and must be complied with;
  4. Breakfast and evening meal allowance each day if staying at the Event;
  5. Water whilst working in store;
  6. Staff discount at the festival pop-up store.
The prize does not include travel insurance. Valid ID will be required before you are allowed entry to the event and you will be refused entry if you do not provide suitable photographic ID (such as passport or driving licence). By entering, you confirm you are available to attend the Event between the Onsite Date and the Closedown Date as detailed in the table above.
  1. CO-OP WAYS OF WORKING: Each winner who is paid by time worked will be paid their normal rate of pay for the hours they are scheduled to work in the festival store, and not the hours they are actually present at the Event. Usual out of hours working payment will be paid to colleagues where applicable. Each winner who is salaried will be paid their standard rate of pay for their normal working hours in a standard working week and not the hours they are actually present at the event. Each winner will be subject to our normal Co-op policies and terms and conditions of employment and in particular we expect all winners to comply with our Drugs & Alcohol policy which can be found here.
We will send a training pack to winners prior to their allocated Event which must be completed before attending the Event. We will also require all winners to attend a follow-up training session which will be provided on the winner’s first day at the Event. Any winners who haven’t completed the required training prior to their allocated Event may be withdrawn from the Co-op Festival Crew team and not be entitled access to the Event. We reserve the right to remove any winner from their allocated Event if we believe they are in breach of these terms and conditions or any of our normal Co-op policies and terms and conditions of employment. The relevant organiser of each Event also reserves the right to remove any winner if, in the opinion of the organiser, they are in breach of the terms and conditions of the Event.
All travel and expenses must be in accordance with our Travel and Expenses Policy.
  1. WINNER SELECTION: Judging of the competition will take place within 21 days after the closing date of the competition. Winners will be selected based upon the entries that the judges consider in their sole discretion to be most deserving of a role as a member of the festival crew at an Event based on the reasons given in their entry. Details of the independent judges can be obtained by sending an email to festivals@coop.co.uk no earlier than 21 days after the closing date of the competition.
  2. NOTIFICATION: We will contact winners within 5 days after the date that entries are judged. We will try to contact the winners via the phone number or email address provided in entry form. If the winner does not respond to us within 5 days of being notified by us, then the winner’s prize will be forfeited and another winner will be picked at random from the remaining eligible entries in accordance with the process described above in clause 7.
  3. DECISIONS OF THE PROMOTER AND JUDGE: If there is any dispute about the receipt of validity of any entry or any other aspect of the competition, this will be decided by us. The decision of the judges in relation to the winners is final and binding and no correspondence will be entered into about it. Our decision regarding any other aspect of the competition is final and binding and no correspondence will be entered into about it.
  4. WINNER LIST: Winners’ names, respective business functions and copies of winning entries can be obtained by sending an email to festivals@coop.co.uk no earlier than 30 days after the closing date of the competition.
  5. AGREEMENT TO THESE TERMS AND CONDITIONS: Entry to this competition shall constitute your acceptance of these terms and conditions and your agreement to be bound by them. These terms and conditions take effect immediately upon entry to the competition.
  6. DISQUALIFICATION: We reserve the right to reject any entry, withhold the prize and disqualify you from the competition if we suspect you of failing to comply with these terms and conditions or of fraud, cheating or dishonesty.
  7. QUALITY AND OWNERSHIP OF ENTRIES: Entries must not be, or contain anything that is illegal, offensive, abusive, defamatory or explicit. By entering this competition, you confirm that the entry is your own, original, photograph and you confirm that your submission of the entry (and our use of the entry for the purposes described in clause 17) does not and will not infringe any third party’s intellectual property rights. We do not claim any rights of ownership in your entry, but we may use, display, publish, transmit, copy, edit, alter, store, re-format your entry for the purposes described in clause 17.
  8. NO RESPONSIBILITY FOR ENTRIES NOT RECEIVED: We accept no responsibility for entries not successfully received by us, or which are delayed, due to a technical fault, technical malfunction, computer hardware or software failure, satellite, network or server failure of any kind.
  9. LIMITATION OF LIABILITY: Insofar as is permitted by law, we, our agents or distributors will not in any circumstances be responsible or liable to compensate you or accept any liability for any loss, damage, personal injury or death occurring as a result of taking up the prize (if you win) except where it is caused by our negligence or the negligence of our agents or distributors or that of our or their employees. Your statutory rights are not affected.
  10. USE OF PERSONAL INFORMATION TO ADMINISTER COMPETITION: We, other members of the Co-operative Group, 3rd party agencies acting on our behalf and the organisers of each Event may collect personal information from you in accordance with the General Data Protection Regulation 2016/679 and other applicable data privacy laws. Except as set out in clauses 17 & 18 below, we and other members of the Co-operative Group will only use your information for the purposes of administering this competition.
  11. USE OF PERSONAL AND OTHER INFORMATION FOR PROMOTIONAL PURPOSES: By entering this competition, you agree that if you win we, other members of the Co-operative Group, 3rd party agencies acting on our behalf and the organisers of each Event, may use your entry, name, image, county of residence and any testimonial you have provided to us, for promotional purposes (including on our websites, social media, within our magazines or within promotional emails).
  12. 18. USE OF PERSONAL AND OTHER INFORMATION FOR FACILITATING THE PRIZE: By entering this competition, you agree that if you win, your information submitted will be passed to the relevant Event organiser for the purposes of Event accreditation, information will be handled in accordance with the relevant organiser’s Data Protection Policy.
  13. CANCELLATION OR WITHDRAWAL OF COMPETITION: We reserve the right at our absolute discretion to withdraw or cancel this competition without prior notice and without liability to any party if it becomes necessary to do so.
  14. CHANGES TO THESE TERMS AND CONDITIONS: We reserve the right to amend these terms and conditions at any time. Revised terms and conditions will be available on the Co-op Festival Crew information page and be requested by email to festivals@coop.co.uk. It is your responsibility to keep up to date with any such changes.
  15. RELEVANT LAW: This competition and these terms and conditions are governed by the laws of England and you agree to submit to the jurisdiction of the English courts if any dispute arises.
